Scheduling in the healthcare sector can be a nightmare - particularly in an ambulatory surgery setting where each case is unique and demands a specific set of skills. This was the challenge I was faced with; a plethora of complex cases and no one to effectively manage the scheduling of RNs, X-ray techs, and other disciplines.
Using the existing Electronic Medical Records (EMR) system as a foundation, I designed an automated scheduling system. This software not only determined the necessary skills and disciplines for each case, but also seamlessly coordinated with the staff.
The secret sauce? Automated text messages. Rather than relying on manual input for staff availability, we innovatively integrated a texting feature. The system sent messages to employees, requesting their availability. With this information, it could then create an optimal schedule, matching the right staff to the right case at the right time.
The result was a streamlined, efficient scheduling process that addressed the complex needs of an ambulatory surgery setting. The chaos of managing numerous, unique cases transformed into a symphony of well-coordinated care delivery. This ensured that every patient received the right care from the right professional, all the while simplifying the scheduling process for the staff.
